Product / Purchasing, invoices & suppliers

Purchasing that checks itself against the order.

Purchase orders per event and order window, invoices reviewed line by line against the order, price alerts as a decision queue, credit notes chased to the dollar, and a supplier history you can actually read.

Invoice review worklist against a purchase order with price, quantity and match exceptions on the rows.
Invoice review: resolve each line, then approve

01

Invoices arrive, then explain themselves

Email them to a dedicated address or photograph them on the dock. Lines are extracted and matched to your components (AI when enabled), and the review shows the invoice against the purchase order: what is dearer, what is short, what is unmatched, what was never ordered.

Invoices list with status tabs: needs review, confirmed, parsed, a dispute open and one resolved.

02

Lines you never ordered, to a credit note

Parsley and lemons billed against an order that never had them: request the credit note from the review, and the invoice list tracks it through requested, reminded and received until the credit lands. Disputes stay attached to the invoice.

Invoice line with the invoiced price against the purchase-order price.

03

Orders that come from the forecast

An event’s active forecast and its order window generate draft purchase orders per supplier and per site. Send them, receive them against the order, sign the delivery off, and stock posts to the ledger.

Event forecasting with the order window and generate purchase orders control.

04

Stock that moves when the till rings

Sales deplete stock, deliveries and invoices post, and waste and counts adjust one append-only ledger. The overview shows each line’s live position, when it was last counted and what that count found; the variance report names the repeat offenders.

Live stock position with on-hand, last counted and count variance columns.

How it works

The rules behind it.

Against the order
Every invoice line is compared with the PO it answers
Chat to PO
“We need 100 kg soy sauce” in chat becomes a line on the supplier’s draft order
Perpetual
A stock ledger with the last physical count beside every line
